Who we are
Wild Desk is based in Geneva, Switzerland. This policy explains how we collect, use, and protect your personal information when you visit wilddesk.ch or register for a trip. Questions? Email us at hello@wilddesk.ch.
What information we collect
When you submit a booking request or register interest in a future trip, we collect the information you provide directly, which may include: your name, email address, phone number, country of residence, job title, contact preferences, dietary requirements and allergies, and emergency contact information. We do not collect information automatically through tracking or analytics tools, and we do not purchase or obtain personal data from third parties.
How we use your information
We use your information to: process and manage your trip booking; communicate with you about your booking or enquiry; send administrative information such as pre-trip logistics; send information about future trips if you have opted in; request feedback after a trip; and protect the security and integrity of our services.
Legal bases for processing
Under applicable data protection law (including GDPR where relevant and the Swiss Federal Act on Data Protection), we process your information on the following legal bases: your consent (for mailing list sign-ups); performance of a contract (to deliver your booked trip); legitimate interests (to improve our services and communicate with past participants); legal obligations (to comply with applicable law); and vital interests (emergency contact information is held for safety purposes).
Who we share your information with
We do not sell your personal information. We may share it with trip co-organisers involved in delivering Wild Desk trips, and with local partners such as restaurants or activity providers where necessary to accommodate your dietary requirements or deliver the trip programme.
Third-party form processing
Booking applications and mailing list registrations are collected via JotForm. Personal information submitted through these forms is processed and stored by JotForm in accordance with their own privacy policy at jotform.com/privacy. Wild Desk accesses this information solely to manage bookings and participant communications.
Google Maps
Our website includes an embedded Google Maps element to show trip locations. Google may collect information through this embed in accordance with their own privacy policy. We do not use Google Maps to collect or store your location.
How long we keep your information
We retain participant data for up to 3 years after the completion of a trip. Mailing list data is retained until you ask to be removed. Emergency contact information is deleted within 30 days of the trip's end date.
How we keep your information safe
We take reasonable technical and organisational measures to protect your personal information. Your data is stored in JotForm, which maintains its own security standards. No system is 100% secure and we cannot guarantee absolute security.
